Adminstrative Assistant Position

Location: Melville, NY

Position Summary:

Responsible to provide clerical support to the National Director of Marketing and Sales to assist with Marketing Events, New Business Proposals and liaison between national director and client base.

Primary Responsibilities:

  • Serve as liaison to National Director of Marketing and Sales to act as liaison with national accounts and government entities.
  • Coordinate appointments, travel arrangements, projects, correspondence and meetings for National Director of Marketing and Sales and/or administrative functions as requested.
  • Provide the maintenance of files and coordination with others to avoid duplications.
  • Coordinate assignment and completion and delivery of all projects overseen by the National Director of Marketing and Sales.
  • Follow up on delegated assignments to operation managers and/or sales personnel.
  • Maintain all contracts for physicians, including the drafting of new contracts and make sure all documents are current.
  • Work hours are 9am to 5pm with the ability to work overtime and flexibility as required.

Secondary Responsibilities:

  • Assist with follow up of printing vendors for marketing brochures.
  • Assist with coordination of marketing events.
  • Assist in preparing and drafting RFPS as directed by National Director of Marketing and Sales.
  • Assist in legislative research and compliance issues.
  • AA Degree in Business Administration and/or other professional discipline plus at least 2 years experience in similar.
  • Willing to participate in continuing education/training each year.
  • Must be computer literate (Word, Excel, PowerPoint required).

Physician Recruiter

Duties and Responsibilities:

  • Recruit physician and other specialties to join SCS panel that meet SCS/client criteria for timeliness and quality.
  • Written/Verbal orientation of new providers with the assistance of the Director of Marketing and Medical Director.
  • Efficiently document all calls and contacts with physicians and physician’s offices in our CRM
  • Work with the credentialing department on credentialing all newly recruited specialists.
  • Update Account Executives/Account Managers and Clients on the status of recruiting efforts.
  • Assist with special recruitment activity that are needed for special referrals within a 48 hour deadline.
  • Provide options for recruiting/scheduling if you are not able to meet all the client’s scheduling criteria.
  • Compile an accurate report of monthly statistics thru CRM for review by Director of Marketing,
    COO and Controller on recruitment activities.
  • Obtain all prepayment requests approved by Controller for processing.
  • Reduce the number of physicians in the network requiring prepayment by renegotiating with previously recruited and frequently used specialists.
  • Review new entries into Provider database for accuracy.
  • Assist with gathering data on physician availability for RFP’s and other necessary sales presentations.
  • Work and assist with other company physician recruiters on obtaining specialists at competitive fees as needed different geographical areas.
  • Inspect newly recruited physicians facilities for standards

Requirements:

  • College Education.
  • Insurance Industry a plus.
  • Workers Compensation understanding a plus.
  • Positive attitude.
  • Travel a must.
  • Excellent Negotiation and Sales skills.
  • Attention to detail.
  • Team Player.
  • Ability to efficiently organize information from multiple sources.
  • Telephonic sales and/or customer service experience.

  • Review medical reports for accuracy, clarity, completeness and client protocols
  • Contact and maintain rapport with physicians and adjusters to ensure timely delivery of reports, monitor turnaround time.
  • Process addendums reports and monitor follow-up with physicians and adjusters
  • Knowledge of New York State Regulation 68
  • Keep up with industry changes and Regulations
  • NF Adjusters and  Worker’s Compensation Specialists welcome
  • Knowledge of Independent Medical Examinations

Skills:

  • Knowledge of medical terms and anatomy and bodily process
  • Industry experience a must
  • Understanding of Claims a must
    (i.e No-fault, personal injury, worker’s compensation, disability)
  • Self Starter and Motivated and independent worker.
  • Computer literate with word processing abilities
